Exit and Entry Tracking at In-Person Events

The Exit and Entry Tracking feature allows you to scan attendee QR codes through the mobile admin app when they enter or exit the venue to ensure that attendee movement is accurately tracked and event access policies are enforced as needed.

Enable Event Entry/Exit Scanning for the Mobile Admin App

  • Go to Event Design > Event Entry Exit

  • Click Enable Event Entry/Exit

After enabling, you should see the Event Entry/Exit option in the mobile admin app's check in page.

Notes:

  • This feature is available only through the mobile admin app, it's not available on tablet / iPad

  • If the attendee is not yet checked in and you scan them for entry, they will also be marked as checked in.


Scan the QR Code to Enter/Exit

When you click Event Entry/Exit, choose whether the device will be on Entry or Exit Mode. Then, the screen to start scanning will show. After scanning the QR code, you should see a success message. If you use the search option, then you can mark them as entered / exited without scanning.


Scan the RFID Badge to Enter/Exit

If attendees have an RFID badge, team members can scan their badge through the mobile admin app to mark them as entered or exited. At the top of the page, there should be an RFID Scan option if the feature is enabled. Select RFID Scan, then click Start Scanning and place the attendee's badge at the top part of the phone for a couple of seconds (just like how you would do it with ApplyPay) to mark them as entered or exited.


Event Entry/Exit Settings

  • Require exit scan to re-enter - when this is enabled, attendees must be scanned when they exit so that they can re-enter. If they exit without being scanned and they return to scan for re-entry, they will get an error. If this is disabled, attendees can be scanned for entry or exit without getting any error, it will not require them to exit first to enter again.

  • Allow Manual Attendee Search - when this is enabled, a search option will appear in the scanning page.

  • Require PIN to Exit from Event Entry/Exit Mode - when this is enabled, you need to enter a 4 digit pin to exit the scanning page.

  • Disable Event Entry/Exit - click this to remove the Event Entry/Exit option from the admin app.

Note: The error message customization option is not yet working, stay tuned for updates!


Bulk Update to Exited

To see which attendees are currently in the venue, you can check the On Site Status in Attendees > Attendee Management. To manually change the status, click the dropdown and choose the status.

If you want to bulk mark attendees as exited, you can hover on the left side to see the checkbox to select which attendees will be marked, then click "Change onsite status" and choose "Exited", then save.


Entry/Exit Report

To see all attendees' exit and entry activities, you can click Download > All Attendee User Activity from Attendee Management.

If you want to download an individual report, you can click on an attendee in Attendee Management and download the report from the User Activity tab.
