Import Attendees from Cvent

The Cvent to Accelevents integrations allows you to register attendees to the event through Cvent and automatically add them as attendees in Accelevents.

How Does It Work?

In Cvent, you'll need to create a webhook and insert the Accelevents API key in the webhook settings, then you'll need to associate the webhook to your Cvent event.

In Accelevents, you'll need to enable and configure the Cvent integration. You'll need to map the ticket types in the configuration to ensure that the correct ticket type is assigned to the attendee. You can also map data coming from the Accelevents order to appear in the Cvent record such as the order number, ticket number, magic link and more.

Once configured, registrations coming from Cvent will automatically be added to Accelevents.

Before You Begin

Before you begin make sure you've already done the following:

  • βœ… The event and ticket types are created in Accelevents

  • βœ… The event and registration types are created in Cvent

Get the API Key from Accelevents

  • Go to Settings > Integrations in your Accelevents admin console

  • Enable the toggle for Cvent

  • Click Configure

  • Copy the API Key

  • You can exit the configure menu without saving, you'll go back to this menu later to finish the configuration.

Create a Webhook in CVENT

  • Log in to your CVENT account

  • Click App Switcher on the upper right

  • Select Admin

  • Go to Integrations > Push API Integrations

  • Click Create Integration

  • Give your integration a name (e.g. Accelevents event name)

  • Choose Webhooks for Type

  • Paste this end point URL: https://api.accelevents.com/rest/integration/cvent/home to Default endpoint

  • Select Token-based for Connection Type

  • Paste the API Key you copied in Accelevents to Authentication token

  • Click Save

  • After saving, go to Integration Points

  • Click Add Integration Point

  • Select these 3 items:

    • Invitee/Guest Registered for Event

    • Invitee/Guest Event Registration Modified

    • Invitee/Guest Event Registration Cancelled

  • Click Save

  • After saving you should see your integration points added.

Associate the Webhook to the Cvent Event

  • Click App Switcher on the upper right

  • Select Events and open the event for editing

  • Go to Integrations

  • In Other Available Integrations, you should see Webhooks

  • Click Set up under Webhooks

  • Click Add Webhooks

  • Select the webhook you created for this event under Configuration, then click Save.

  • Click Edit

  • Enable Override Account Settings

  • Select No for Sessions and Speakers (as we can only sync attendees)

  • Click Save

Configure the Cvent Integration in Accelevents

  • Go to Settings > Integrations in your Accelevents admin console

  • Enable the toggle for Cvent

  • Click Configure

  • Select the default ticket type to assign to attendees imported from Cvent if in the Cvent attendee record there is no registration type specified.

  • Paste your Client ID and Client Secret from your Cvent Developer account

  • Choose the server

  • Click Validate

  • After validating, the mapping section should appear in the configure menu.

Map the Ticket Types

In the above step, we selected a default ticket type (usually done for events with only 1 ticket type). If you have multiple ticket types in your event, you can map these tickets to Cvent Registration Types to assign the appropriate ticket to attendees.

Create Registration Types in Cvent

  • Log in to your Cvent account and open the event

  • Go to General > Registration Types

  • Click Edit

  • Click Create Contact Type

  • Enter the Registration Type name and code, then click Save.

Exit the configure menu to refresh and load the new Cvent Registration Types you've added.

Map the Order Information

If you want some order information to automatically appear in Cvent after the order is created, you can map these information in the configure menu's Order Information Mapping section:

  • Order ID

  • Ticket ID

  • Ticket Type (this is the ticket name)

  • Magic Link

  • Barcode ID

  • AE Event Name

  • Log in to your Cvent account and open the event

  • Go to Attendees > Internal Information

  • Select Tex Field

  • For Question Type, choose Open Ended Text - One Line

  • Choose General as Answer Format for these fields:

    • Ticket Type (this is the ticket name)

    • Magic Link

    • Barcode ID

    • AE Event Name

  • Choose Number as Answer Format for these fields:

    • Ticket ID

    • Order ID

Do a Test Registration

To see if the integration works, register an attendee through Cvent.

Select the Registration Type to ensure that the correct ticket type is assigned to the attendee.

After registering, the order will be created in Accelevents with the ticket you selected.

Note: If you're integrating multiple events, you'll need to repeat the same steps above for each event as the webhook is specific to an event.

Other Imported Information

Aside from the attendee's name and email address, these other information from their Cvent contact record can be imported to Accelevents. Just make sure that the order form fields are active in Accelevents.
