Configure the Integration to Export Event Data Into Oracle Eloqua

Accelevents to Oracle Eloqua Integration

Getting more data from your attendees has never been more critical. With our built-in Oracle Eloqua integration, you can add contacts/attendees from your Accelevents account and have the data automatically appear in Oracle Eloqua.

How Does It Work?

When an attendee registers for the event, a new Oracle Eloqua contact record will be created for that attendee or it will update an existing one with a matching email address. These attendee contact records will be added to a list in Oracle Eloqua. Aside from the attendee first name, last name and email, other information can be included in the export such as their answers in the order form, such as job title and organization, and you can also include other auto-generated information about their order, such as the ticket name, order number, ticket number and more. A Form Submission Data can also populate with the attendee and order information if you associate an Oracle Eloqua Form to the event and map to form fields.

Connect the Integration

  1. Go to your Organizer Portal by clicking the Manage Organization found on the bottom left corner of any event admin console.

  2. Go to the Integrations tab and click Connect under the Oracle Eloqua to begin.

    For Enterprise and White Label plans, the Integrations tab will be in your Enterprise or White Label Dashboard. Click My Enterprise from the Organizer Portal to take you to your Enterprise or White Label Dashboard, where you should find the Integrations tab.

    You can also access the direct Enterprise or White Label Dashboard URL to see the Integrations tab. The URL would look something like this:

  3. After clicking connect, a pop-up would appear. Click New Authentication.

  4. A window within the pop-up will appear. You will need to enter the following details from your Oracle Eloqua account and click Create.

    • Site Name - this is the company name you enter when logging in to Oracle Eloqua

    • Base URL - this is the URL you access when you're logged in to Oracle Eloqua

    • Username

    • Password

  5. Click Finish.

  6. After clicking Finish, return to the Integrations tab and wait for the integration to enable. The green button under Oracle Eloqua will turn red once enabled and connected.

At this point, you're done setting up your integration, which will apply to all events under the organizer / Enterprise or White Label account you integrated; all new registrations should be automatically added or updated in your Oracle Eloqua's contact object.

You can do a test registration to see if your integration works.

The next steps below are for field mapping, other optional settings, and a way to edit or disconnect your integration.


Map Accelevents Attendee, Order and Event Data to Oracle Eloqua

To map fields, this can be done in you're admin console's Settings > Integrations > Oracle Eloqua Configure button

Map Accelevents Questions to Contacts

By default, the attendee's Email, First Name, and Last Name are the fields that will be exported from Accelevents to Oracle Eloqua contacts. If you want other order form answers to be included in the data transfer, you can map those fields in the Configure Oracle Eloqua Mapping menu under Contact Field Mapping.

You can optionally have the attendee information also appear in Form Submissions Data in Oracle Eloqua if the registration originates from Accelevents. In the same Configure menu, there is a section for Oracle Eloqua Form Field Mapping where you'll need to select the form to associate to the event and map the form fields.

Export Other Auto-Generated Information from the Event and the Attendee's Order

Aside from exporting attendee answers to Oracle Eloqua, you can also export auto-generated data from the attendee's order, such as the order number, ticket name, ticket number, tracking link, QR code, UTM data and more. You can also export event information such as the event name, event url, event Id, event start and end date. These fields should appear in the Accelevents columns for fields in mapping menu.

Notes:

  • We can map to textbox, picklist, multi-select picklist and checkbox Oracle Eloqua contact fields.

  • We can retrieve only the first 2000 forms based on the last updated time.

  • if you're mapping hidden Accelevents fields, these fields should be set to "Active."


Edit the Integration

If you want to edit the existing integration, click Edit from the integrations page, and it will take you back to the step where it asks you to click "New Authentication" (step 3).


Disconnect the Integration

If you want to uninstall the integration, click the red Disable button, then click the 3 dot menu in the Oracle Eloqua tile on the integrations page within Accelevents, then click Uninstall. Once it's disconnected, you can connect an Oracle Eloqua account from scratch.

Note: If the integration is disconnected, the existing attendees/contacts will remain in your account. However, if any updates are done to the record, it will only reflect where the update is done.


Disable the Integration for a Specific Event

If you don't want a specific event integrated with Oracle Eloqua, open the admin console for that event, navigate to Settings > Integrations, and turn off the toggle next to Oracle Eloqua.
