Swapcard Integration

The Accelevents to Swapcard integration allows you to register attendees to the event through Accelevents and automatically add them as attendees in Swapcard.

How Does It Work?

When an attendee registers for the event, a new profile in your Swapcard event's People menu will be created for that attendee or it will update an existing one with a matching email address, given that the existing profile does not have a ticket yet. Aside from the attendee first name, last name and email, other information can be included in the export such as their answers in the order form, such as job title, organization, and more. You'll also see in their people record some order information such as the ticket type they purchased and their assigned ticket number.

Before You Begin

Before you begin make sure you've already done the following:

  • βœ… The Accelevents and Swapcard tickets are already created in the events

  • βœ… The toggle Each ticket holder must have a unique email address must be enabled in Accelevents as Swapcard can associate only one ticket per user

Notes:

  • When you update the ticket holder fields in Accelevents, including the attendee's email address, the fields will also update in Swapcard.

  • When a ticket is exchanged in Accelevents, the ticket type will update in Swapcard.

  • When an attendee registers and their profile exists in Swapcard, it will not updated the mapped form fields. It will only updated when you go to the existing order and click update in ticket holder information.

  • When there are other changes in their order or registration such as their check in status, payment or order status, those will not update in Swapcard.

  • If changes are made in Swapcard, it will not update in Accelevents.

  • Registrations from a Swapcard form will not be imported to Accelevents.

Get Your API Key in Swapcard

  • Log in to your Swapcard account and open your event

  • Click your profile on the upper right

  • Select API Key

  • Click Create a new key

  • Add a Key name and click Generate the Key

  • Copy the generated API key

Get Your Event ID in Swapcard

  • In your Swapcard event, go to Event Builder

  • Select General Information

  • Copy the Event ID

Connect the Integration

  • In your Accelevents event admin console, go to Settings > Integrations

  • Enable the toggle for Swapcard

  • Click Configure

  • Paste the API Key

  • Paste the Event ID

  • Click Save

Map Order Form Fields

This is an optional step. You'll only need to do this If you want other order form answers aside from name and email to be exported to Swapcard.

After integrating, click the Mapping button. If it's not showing as clickable, just refresh your page. In the mapping menu you can map the destination of the Accelevents order form answers in Swapcard.

  • Click Add a New Mapping

  • Select the Accelevents field on the left column

  • Select the Swapcard field on the right column

The Accelevents Fields dropdown will show all the active ticket holder form fields, even custom fields. The Swapcard Fields dropdown will show all the fields available for the people profile.

We can map to these field types:

Dropdown - the values should be identical in both platforms

Map Tickets

This is a required step for all tickets. If a ticket is not mapped and someone registers for that ticket, no record will be created in Swapcard.

In the same mapping menu, map the Accelevents ticket with the corresponding Swapcard tickets.

  • Click Add a New Mapping

  • Select the Accelevents tickets on the left column

  • Select the Swapcard tickets on the right column

Do a Test Registration

To see if the integration works, register an attendee through Accelevents, then check in Swapcard's People tab if a new profile is created.

In the image above, you can see the attendee's answers in the order form and their ticket type. When you click to open their profile, you'll see the other information that you mapped in the Custom fields section as seen in the image below.

Their Ticket Number from Accelevents will also be added in the IDs section of their profile.
