Managing Your Attendees and Events In Fonteva

In this article, we'll talk about where to find attendee records in Salesforce if you're using the Fonteva Integration.

Find Attendees in Salesforce When Using Fonteva

After connecting the Accelevents-Fonteva integration, contacts will be created or updated with the attendee information for new registrations.

An auto-generated Fonteva event will be created in Salesforce and attendee records will be created under that event.

When there's a new registration and the Fonteva integration is enabled, a new contact record will be created.

If the attendee's email address belongs to an existing contact in your Salesforce account, the integration will not create a duplicate record, instead it will update the existing record.

  • Login to Salesforce

  • Click the menu icon

  • Search for Sales Cloud

  • Click Contacts

  • You should see the registrants in the list

When you open the record, you'll see that the mapped data populated on the proper fields.

Associated Fonteva Event and Attendee Records

In the contact's Related tab, look for Events. You will see the associated attendee and event records here, you can click on it to open the records.

Event Record in Salesforce

In the Fonteva Event, you'll find attendee records that are associated to the attendee's contact record. The Fonteva Event that will be created will have the same name as your Accelevents event. You can access events directly from here:

  • In Salesforce, click the menu icon

  • Search for Events

  • Click Events

When you open an event, you'll see the event name, date and time populated. The Event Key will have your event URLs' slug partially populated.

Attendees in the Fonteva Event

In the event's Related tab, look for Attendees, this will show a list of all the attendee records created for this event. Click on the Attendee ID to open an attendee record.

The Attendee record will have all the mapped fields. The Ticket ID will also appear here even without mapping it. The Status will be "Registered"

To know if the attendee has already checked in to the event, you can look at the attendee record (not the contact record) and look at the Check In field which will be checked if they've checked in.

If the ticket is cancelled, the Status field also updates to "Cancelled."
