Configure the Integration to Export Event Data Into Pardot

You can connect your account to Pardot through this new integration!

Export Attendees to Pardot

Getting more data from your attendees has never been more critical. With our built-in Pardot integration, you can add contacts/attendees from your Accelevents account and have the data automatically appear in Pardot. You can streamline your campaigning and lead-generation process through this!

Note: The integration feature is not available for Free and Starter plans.

How Does It Work?

When an attendee registers for the event, a new prospect record in Pardot will be created for that attendee.

These attendees will be added as prospects in a Pardot Campaign that will be auto-generated by Accelevents.

Aside from the attendee first name, last name and email, other information can be included in the export such as their answers in the order form, such as job title and organization, and you can also include other auto-generated information about their order, such as the ticket name, order number, ticket number and more.


Configure the Integration in Accelevents

1. Go to your Organizer Portal by clicking the Manage Organization found on the bottom left corner of any event admin console.

2. Go to the Integrations tab and click Enable under the Salesforce logo to begin.

If you're not seeing the Integrations tab, you'll need to access your Enterprise or White Label Dashboard to see the Integrations tab. Click My Enterprise from the Organizer Portal to take you to your Enterprise or White Label Dashboard, where you should find the Integrations tab.

You can also access the direct Enterprise or White Label Dashboard URL to see the Integrations tab. The URL would look something like this:

3. Click New Authentication from the pop-up

4. Enter the required authentication details

  • Authentication name

  • Pardot Environment

  • Username

  • Password

  • Security token

  • Business Unit ID

To get your Security Token

  • Log in to Salesforce

  • Click your profile and select Settings

  • Select Reset My Security Token

  • Click Reset Security Token. The new security token will be sent to your email address. If you've previously set up an integration, then you'll need to input the new security token for it to work.

To get your Business Unit ID

  • Login to Salesforce

  • Click the gear icon

  • Select Setup

  • Search for Business Unit Setup

  • Copy the Business Unit ID

5. Click Finish

6. After clicking Finish, return to the Integrations tab and wait for the integration to enable. The green button under Pardot will turn red once enabled and connected, and an edit button should appear next to it.

If doesn't enable on it's own, click the Edit button and update the authentication details, check if you missed anything or if you have extra spaces.

The next steps below are for mapping fields, other optional settings and a way to test, edit, or disconnect your integration.


Map Order Form Questions

By default, the attendee's Email, First Name, and Last Name are the fields that will be exported from Accelevents to Pardot. If you want to include other order form answers to be included in the data transfer, you can map those fields in the Configure Pardot Mapping menu.

Important Note: We can only map to Salesforce fields in text, number, picklist, and URL format. It will not work if the Pardot field is a date picker, formula, checkbox, etc.

The Accelevents Fields dropdown will show all the ticket holder order form fields, even custom fields. The Pardot Properties dropdown will show all the fields available for the the Pardot prospect object.

If you can't find a matching Pardot field for the Accelevents field (e.g., disclaimer or social media links), select any most applicable field or create a new property / field in Salesforce.

If you're mapping the disclaimer to a Salesforce picklist, the values should be I agree to the conditions listed above. and I DISAGREE with the conditions listed above.

Enable the Order Form Questions

To ensure that the data transfer will work, activate the order form fields for the ticket holder. Note that it has to be ticket holder fields. The information in the ticket buyer fields will not be included in the data transfer.

  • Go to Registration > Order Form

  • Go to the Ticket Holder tab

  • Activate the field by turning on the toggle.

Note: If you're mapping hidden fields, the fields must also be set to Active.

What if I'm not using the ticket holder fields?

If you're collecting buyer info only (toggle to Collect both ticket buyer and ticket holder information is turned off in the setting and only 1 ticket is allowed per order), the buyer automatically becomes the ticket holder, therefore the buyer information automatically appears in the ticket holder fields in the order. The information carried over to Pardot are coming from the holder fields.

In this scenario, you need to have the TICKET HOLDER fields ACTIVE in the ticket holder tab BEFORE turning off the toggle to Collect both ticket buyer and ticket holder information.


Map Other Auto-Generated Accelevents Data

Aside from mapping the ticket holder order form fields, you can also map auto-generated data from the order, such as the order number, ticket number, ticket name, QR code, tracking link used, UTM data, magic link and more. You'll see these options at the bottom of the dropdown for the Accelevents field in the mapping menu.


Test the Integration

To know if the integration works, do a test registration for the event. The first registration after setting up the integration will trigger the creation of a new campaign and lists in Pardot.

Locate Campaigns in Pardot

A new campaign should be created after the first registration in the event post-integration setup.

  • Log in to Pardot

  • Go to Marketing > Campaigns

  • Look for the campaign that has the last part of your URL as the campaign name (e.g. ariane-pardot-2026)

  • You should also see the count for Prospect increases when there are new registrations

Note: If you're using Salesforce Connected Campaigns, you can manually create a campaign in Salesforce where the campaign name is the end of your event URL (e.g., If the event URL www.accelevents.com/mynewevent then the Campaign Name needs to be mynewevent). After creating the campaign, Pardot will show the new campaign within 2 minutes. The Accelevents integration will automatically find the Pardot campaign based on the event URL.

Prospects in Pardot

When you click on the campaign, you'll see the attendees under Prospects.

When you click on a Prospect, it will show an overview of the attendee with their name, email address, and company (if mapped) under Contents, then other mapped fields will be under Additional Fields.

Note: You can also navigate to the Prospect menu to see the list of all prospects

Prospect List Membership

Aside from automatically creating the campaign after the first registration post-integration setup, 2 lists will also be created in Pardot.

  • Go to Marketing > Segmentation > Lists

The lists will be named after the last part of your event URL: "eventURL-Registered" and "eventURL-RegisteredNotAttended."

For example, if my event URL is https://www.accelevents.com/e/demovirtualevent, my two lists will be automatically named "demovirtualevent-Registered" and "demovirtualevent-RegisteredNotAttended."

  • Registered - everyone registered for the event.

  • RegisteredNotAttended - everyone who has not checked in to the event.

After the lists are created, attendees will be automatically added to both lists. Once they check in to the event, they will be automatically removed from the "RegisteredNotAttended" list while remaining in the "Registered" list.

You can also check the attendee's prospect record's List tab to see the lists they are associated with. Initially both list will appear in there. When the attendee checks in, they will no longer be a member of the "RegisteredNotAttended" list.

Note: If an attendee's ticket is deleted and cancelled, the prospect will be removed from both lists.

Update The Order in Accelevents

When the attendee's information is updated in Accelevents (ticket holder info in the order or in My Registrations), the information will also be updated in Pardot.

If updates are made in Pardot, it will not update in Accelevents.

If the attendee is already a prospect in an existing campaign, a duplicate prospect is created since the Accelevents event is a different campaign.


Edit the Integration

If you want to edit the existing integration, click Edit from the integrations page, and it will take you back to the step where it asks you to click "New Authentication" (step 4).


Disconnect the Integration

If you want to uninstall the integration, click the red Disable button, then click the 3 dot menu in the Pardot tile on the integrations page within Accelevents, then click Uninstall. Once it's disconnected, you can connect a Pardot account from scratch.
