Book Hotel Rooms Through Passkey After Purchasing Tickets
Through integrating Cvent Passkey with Accelevents, in-person event registrants can seamlessly book hotel accommodations right after completing their event registration. Their hotel reservation details will be automatically included in their Accelevents order.
How Does It Work?
With Cvent Passkey integrated, attendees will see a button to book their hotel in the confirmation page after purchasing their ticket. They can also see this button in the order confirmation email and in My Registrations.
When they click the button, it will redirect to the page where they can make a hotel reservation. After reserving, they should receive an email for the reservation confirmation.
When they check in My Registrations again, they should see their reservation details and an option to update their room hotel reservation by clicking the Manage Reservation button.
In the admin console, event admins can go to Attendee Management to view which attendees have already reserved hotel rooms.
Engage emails can also be sent to attendees that will show their hotel reservation details.
Before You Begin
✅ You have an Cvent Passkey account.
✅ You have your Passkey Event ID and Access Code
Get Your Housing Event ID and Access Code in Passkey
Log in to your Passkey account
Go to Details > API Access
Go to Event Codes
In the link under Event Codes, copy the last part after the
=sign. This is your Access Code.Copy the Event ID, this is your Housing Event ID.
Connect the Integration
In your event admin console, go to Settings > Integration
Enable the toggle for Cvent Passkey
Click Configure
Enter your Housing Event ID
Enter the Access Code
Click Connect & Fetch
Assign a Default Passkey Attendee Type. This is the Passkey attendee type assigned to the attendee if the Cvent attendee record has no registration type specified.
In the Mapping tab, match each ticket type to a Passkey attendee type. Attendees receive the housing access tied to the access code mapped to their ticket.
Click Save
Add the Book Hotel Widget to the Confirmation Page
In the confirmation page that buyers see after they purchase tickets, you can add the Book Hotel Widget so that they can click a button directly from that page to start booking their hotel.
Add the Book Hotel Link Merge Tag to the Order Confirmation Email
In the order confirmation email they receive after purchasing tickets, you can add a button that redirects to the hotel reservation link. In the button settings, instead of adding a URL, add the ${BookHotelLink} merge tag.
Add the Hotel Fields in Attendee Management
If you want to see which attendees made hotel reservations, you can go Attendees > Attendee Management in the admin console. Then, in Edit Columns, add all the hotel fields, so you can see the information in the attendee list.
Add Hotel Reservation Information to Engage Emails
If you want to send the hotel reservation information to attendees, you can send an engage email that includes merge tags for the reservation information.
Go to Engage > Emails
Open the email for editing
Select any text object in the template and click Merge Tags from the top menu that appears
Copy the Hotel Booking merge tags and paste them to the template
Note: These merge tags are also available for the order confirmation email, however we do not advise adding them since the email is sent before they book their hotel. Those fields will not populate any information yet, and will appear as blank spaces in the email.
Test the Passkey Integration
Access the event landing page to do a test registration. Purchase a couple of tickets for different attendees so you can see how to make hotel reservations for all the attendees.
When you get to the confirmation page, you'll see the button to book the hotel.
In the order confirmation email, you should also see the button to book the hotel.
When you go to My Registrations, you'll also see a button to Book a Room.
When you click any of the buttons, it will redirect you to the link where you can start reserving your hotel room.
The hotel registration form should pre-populate with your information coming from your Accelevents order (name, email, organization, job title and address).
After booking your hotel, you will get a reservation confirmation email.
When you go to My Registrations, you'll see your hotel reservation details.
In Attendee Management, you can also see the hotel reservation details.
Update the Hotel Reservation
To update the hotel reservations, you can go to My Registrations and click Manage Reservation. This will open a new tab where you'll be asked to enter your email address to pull your reservation information. After updating, the information should also update in Accelevents.
