Task Management for Speakers and Sessions

Easily track if your speakers have done the necessary steps to ensure that their session runs successfully

The Task Management feature allows you to define tasks for speakers and sessions, enables speakers to complete assigned tasks independently, and lets teams of speakers collaborate on tasks related to their session.

With this feature, speakers will be notified when a task is assigned to them. They can access the Speaker Hub to view all their tasks and mark them as completed. You can also send reminders to ensure the tasks are done before the event.

A speaker task can include updating their bio through the onboarding process or testing the Accelevents Studio features. A session task is a task for speakers that needs to complete for a particular session, such as uploading handouts for the session or adding poll questions.

Create a Task

  • Go to Event Content > Task Management

  • Click + Create Task and select whether it's a speaker or session task

Task Basic Information

You can add the task's basic information such as the task title, description, and due date.

Task Verification Type

Most tasks are manually verified, meaning the assignee must mark the task as done. If it's a task to submit a survey, you can select System Verified, which will automatically mark the task as done when the survey is submitted.

Assign Tasks

To assign a task, you can turn on the toggle to require the task for all speakers or sessions or go to the Assignees or Sessions tab to manually assign it to individual speakers or sessions. Assignees will not appear in the Assignees tab if you required the task for all. You can manually remove them from the task if you manually added them.

If it's a session task, the task will be assigned to all speakers in the session.

Task Reminders

Task reminder emails can be sent to assignees. You can set multiple reminders before the task is due and overdue notice for incomplete tasks.

Task Notification

Save the task as a draft if it's not ready yet and select Create & Publish if you want the task to appear in the Speaker Hub. When you click Create & Publish you'll get a confirmation pop-up where you can choose to notify speakers of the new task. Check the box if you want them to get the email.

The speaker will receive an email with a "View Task" button that redirects to the Speaker Hub where they can check the other task details and mark them as completed.

Notes:

  • When you have an existing task assigned to all speakers and you add a new speaker to the event, they will automatically receive an email notification for the task.

  • When you have an existing session-specific task and you add a speaker to a session, they will not receive an email notification. You may want to send them a reminder.

My Tasks in Speaker Hub

In the virtual event hub, speakers have a dedicated Speaker Hub menu for all their speaking schedules and tasks. In the My Tasks tab, they will see all the tasks assigned to them and they can click "Submit" to indicate that the task has been completed.

Note: If the session is hidden, tasks will also be hidden.

Task Status and Follow-Up

The Completion and Status columns in the Task Management menu will give you an idea of how many speakers have completed the task. Click View Results to know who has completed them.

From the View Results menu, you can push a reminder notification for those who have not completed the task.

Other Task Options

In the 3 dot menu, you'll have more options to edit the task, send a reminder, download the task analytics, duplicate and delete the task.
