A better understanding of the downloaded exhibitor reports

Reviewing your analytics can give you a better understanding of your audience's behavior. The results in your analytics can also determine what approach and adjustments you need to do on your next event.

In this article about Exhibitor Analytics, we discussed about the data you see on your Analytics Page.

Below, we will discuss more about the downloaded reports from your Analytics Page and the My Booth tab.

All Exhibitors Report

  • Go to Analytics

  • Select Exhibitors

  • Click Download

This report will give you information on all booths with the following fields:

  • First Name - generated from registration

  • Last Name - generated from registration

  • Email - generated from registration

  • Event Ticket Id - this is the ticket number, this can be found in the pdf file attached to their confirmation letter

  • Note - will let you know what actions the attendee did inside the booth (VISIT = entered the booth, REQUEST_A_DEMO = clicked the CTA button, AUTO-GENERATED_LEAD = attendee sent a chat message, BLANK = attendee downloaded a file)

  • Rating - A Warm rating means the attendee chatted on the expo chat or directly to a booth representative, or clicked the CTA button. If they are not rated as warm, then it will default to Unrated. Hot or Cold will only appear in the report if the exhibitor updates the rating in the My Booth tab.

  • Created On - Time and date of when the attendee did the action

  • Role - Attendees, Speakers and Admins with a ticket will be labeled as Attendees, while Exhibitors with a ticket will be labeled as Exhibitors.

  • Owner - If an attendee sent a direct message to the exhibitor, that is exhibitor will be the owner. If no direct message was sent, it will be unassigned.

  • Phone Number - this is the phone number they entered while registering, however if you did not add a phone field in your registration and a phone number appears, that phone number is coming from the attendee's main Accelevents profile, where they can update under My Profile.

  • Total time in Booth - total time in seconds that the attendee spent inside the booth. If the attendee enters the booth more than once, it will count all the visits and total it up.

  • Document Downloaded - file name that the attendee downloaded

  • Link Clicked - generated if the attendee clicked the link from the Link to Site field

  • Game Type - this will show which gamification challenge the participated in (we're still working on this)

  • Video Played - indicates whether the attendee played the video in the booth or not

  • Chat - indicates whether the attendee has sent a chat message or not through the booth chat or sent it directly to an exhibitor

Note: The Download Lead individual booth report in the My Booth tab is the same as the All Exhibitor Report.


Individual Exhibitor Booth Report

On the Exhibitor Analytics page, click the particular booth to slide in the right-side panel, in the analytics tab scroll down below, and then click download

This report will give you information on all booths with the following fields:

  • First Name - generated from registration

  • Last Name - generated from registration

  • Email - generated from registration

  • Phone Number - this is the phone number they entered while registering, however if you did not add a phone field in your registration and a phone number appears, that phone number is coming from the attendee's main Accelevents profile, where they can update under My Profile.

  • Company - this is the company they entered while registering, however if you did not add a company or organization field in your registration and a company appears, that company is coming from the attendee's profile in the virtual event hub, which can be updated if they click the Profile Button.

  • Title - this is the job title they entered while registering, however if you did not add a job title field in your registration and a job title appears, that job title is coming from the attendee's profile in the virtual event hub, which can be updated if they click the Profile Button.

  • Number of times booth was visited - total number of times they entered the booth

  • Comma separated list of documents download - file name that the attendee downloaded

  • Staff - indicates whether the attendee (with a ticket) is also a staff member (admins, staff, exhibitor admins, and lead retrievers)

  • Total time in Booth - total time in seconds that the attendee spent inside the booth. If the attendee enters the booth more than once, it will count all the visits and total it up.

  • Video Played - indicates whether the attendee played the video in the booth or not

  • Chat - indicates whether the attendee has sent a chat message or not through the booth chat or sent it directly to an exhibitor


On the Attendees tab, you'll see two sub-tabs β€” Visitor and Document Downloaded:

The Visitor tab displays the visits that the booth had during the event. The Document Downloaded tab displays which users downloaded documents in the booth. Both tabs also detail the times when those interactions took place.

Tabs for Polls and Q&A are also available, but these features haven't been released yet, so a 'Coming Soon' message is displayed as a placeholder.

Adding More Profile Fields to the All Exhibitor Report

Additional profile information from the attendees can be collected in the report. This is the information that attendees have added in their virtual event profile. To have these appear in the report:

  • Go to Exhibitors & Sponsors tab in your admin console

  • Click Settings

  • Click Expo Settings

  • From the Expo Settings menu, scroll down to Fields, then enable all the fields that you want to appear in the report.

Notes:

  • The default setting is that the same fields will be collected for all booths

  • If you want to customize it for each booth, then you'll need to select the booth from the dropdown on the same Expo Settings menu

  • Once you click that dropdown and select a booth, you won't be able to go back to the default setting anymore even if you select All Exhibitors in that dropdown.


Frequently Asked Questions

What are the differences of the 2 reports?

  • The All Exhibitor Report has 7 more columns that's not in the Individual Exhibitor Booth Report. (Event Ticket Id, Note, Rating, Created On, Owner, Link Clicked, Game Type)

  • The Individual Exhibitor Booth Report has 3 columns that's not in the All Exhibitor Report. (Company, Title, Number of times booth was visited)

  • The All Exhibitor Report has a row for every interaction done by the attendee, while on the Individual Exhibitor Booth Report, the attendee will only appear once.

Can exhibitors download the reports?

  • Yes, in the My Booth tab, they should see a Download Lead button under the Leads tab

What happens if I turn off "Allow Reps To Manually Add Leads"?

  • If you disable Allow Reps To Manually Add Leads in your booth settings in the admin console, it hides the +New Lead button in My Booth so that the exhibitor cannot manually add leads.

What happens if I turn off "Show 'Download Lead' Button In My Booth"?

  • If you disable Show download exhibitor button in my booth in your booth settings in the admin console, it hides the Download Lead button in My Booth so that the exhibitor cannot download the report.

What's the difference of a "Warm" and "Unrated" lead?

  • Initially, these are the lead ratings that you will see in your Lead tab, but you can change the ratings to Hot, Warm or Cold.

  • An assigned warm lead is someone who has sent a direct message to one of the exhibitors.

  • An unassigned warm lead is someone who click the CTA button or someone who sent a message through the general chat area.

  • An unrated lead that has Document as source is someone who has downloaded a file from your booth.

  • An unrated lead that has Visit as source is someone who visited your booth. This is only available if the event admin has allowed every booth visitor to be counted as a lead.

Will the data be captured if attendees enter the booth after the event?

  • Yes

Where can I download other reports?

  • If you want to download other reports along with the report on exhibitor analytics, you may go to Analytics>Downloadable Reports. Select the reports you want to download then click on Download Selected.
