What is Pre and Post Event Access?

Attendees can enter your virtual event at an earlier time, as well as after your virtual event has ended!

As an event organizer, you can set up a time and date for pre and post-event access for your attendees. Pre-Event Access means the registered attendees can enter the virtual event hub before the event officially begins. In contrast, Post-Event Access means they could still enter the virtual event hub even after the event has ended.

What Can Attendees Do During Pre-Event Access?

The Enter Event button will appear on the landing page once the Pre-Event Access begins. Attendees can then enter the virtual event hub and will be able to:

  • Set up and edit their profile

  • Check their devices' audio and video settings, and set up their notifications.

  • Explore the Lobby, and chat with event organizers, speakers, and other attendees

  • View upcoming sessions details, and bookmark their preferred sessions

  • Enter Lounges to interact with event organizers, speakers, and other attendees

  • Enter booths in the Expo tab, and interact with exhibitors to learn more about their products/services

  • Send connection and meeting requests to other attendees


How Early Can I Set Pre-Event Access?

  • For Free, Starter, and Scale plans, you can set access up to 24 hours earlier than the event's start time and date.

  • For Professional and Enterprise Plans, you can set access up to 168 hours earlier than the event's start time and date.

Note: 30 minutes is the default Pre-Event Access for all plans.


Where and How Do I Set Pre-Event Access?

  • From the admin console, click Event Details.

  • Scroll down until you see the Pre-Event Access Starts date and time fields.

  • Click on the fields to change and set the access date and time.


What Can Attendees Do During Post-Event Access?

The enter event button will still appear on the event landing page during the Post-Event Access to allow attendees who may have missed the live event to enter your virtual event and watch the recordings of past sessions even after the event has ended. They will also be able to:

  • Set up and edit their profile

  • Check their devices' audio and video settings, and set up their notifications

  • Explore the Lobby, and chat with event organizers and other attendees who are online

  • Enter Lounges to interact with event organizers and other attendees who are online

  • Enter booths in the Expo tab and interact with exhibitors who are online to learn more about their products/services

  • Send connection and meeting requests to other attendees

Accelevents allows free post-event access to attendees for 30 days from the event's end date. You can enable this here:

  • Click Event Details.

  • Toggle on Allow attendees to access this event after it ends.


How Can My Attendees Have Post-Event Access For More Than 30 days?
