The end of your fundraising event, whether it's an auction or raffle, can always be exciting and stressful. Luckily, Accelevents helps keep everything as streamlined and straightforward as possible!
Post-Fundraising Event Expectations
Here's what you can expect when your fundraising event ends!
Silent Auction Ending
Your silent auction will end at the date and time that you specified in your silent auction settings. At this point, all bidding will be closed.
Next, your winners will be notified. Those who bid only via text message will receive a text message notifying them of the items they won. Those who bid online will receive an email in addition to the text message they receive.
Please note that the text option will only work for certain countries (including the US and Canada). Please check with us if this will work in your country.
How do Auction Winners Make a Payment?
If credit card processing is enabled but a credit card is NOT required upon initial bid submission, then the message to your winning bidders will contain a link listing the items that they won and asking them to enter payment information and checkout.
If credit card processing is enabled and credit card IS required upon initial bid submission, then the message to your winning bidders will contain a link listing the items that they won and asking them to confirm the payment with the card on file or change cards.
When payment is complete, they will receive a text confirming their payment and will be emailed a receipt. In the Admin Console, the items that have been paid for will be marked with a green check in the Silent Auction Performance section.
If credit card processing is not enabled, your winning bidders will receive a message informing them of the items they won and directing them to find a staff member to make payment.
If a manual payment is made, you can use the "Mark as Paid" feature in the Silent Auction Performance section to track payment by cash or check.
If in any case, winners may have forgotten to make a payment, you can always remind them to do so by sending a payment follow-up email.
Once winners have made a payment and they received their items, you can then now mark those items as "distributed".
Note: At the end of your auction, we will automatically charge you the $1 per bidder fee.
Raffle Ending
Your raffle will end at the date and time that you specified in your raffle settings. At this point, no more tickets will be sold or dispersed. If raffle ticket buyers forgot to submit their tickets, our system will distribute them evenly across all of your available prizes, giving that buyer a chance to still win!
Next, our system will automatically draw winners and notify each of them. If this is an in-person event, winners can then find a staff member to claim their prizes. If this is an online raffle, you will need to make arrangements with your winners on how to claim or send their prizes.
Frequently Asked Questions
What happens if no one bids on an item?
After the auction, no one can place bids anymore on all items including items without bids. The button that says "Bid" will change to "Bidding Closed".
No winners will be drawn for items that did not have bids, you can auction them off again at your next event.
What will they see when the bidding is closed and someone won the item?
Can I open the bidding for the items that have no bids?
You can't re-open the bidding anymore since the auction has ended. Not unless you relist the item in another auction.
How do I arrange to send the items to the winners?
You will have to arrange that externally, there is no option to arrange that from within Accelevents.
Will the page be available after the event?
Yes, participants will still have access to the auction page 30 days after it ends.
When do I get billed for the $1 per participant fee?
You will be automatically charged when your fundraising event is over.
