A better understanding of the downloaded session reports

Session Analytics

Reviewing your analytics can give you a better understanding of your audience's behavior. The results in your analytics can also determine what approach and adjustments you need to make on your next event.

In this section about Session Analytics, we discussed the data you see on your Analytics Page.

Below, we will discuss the downloaded reports from your Analytics Page and Sessions & Speakers tab.

Note: Viewing and engagement data may appear blank or show as not applicable for in-person sessions as that data is only applicable to virtual and hybrid sessions.


Session Overview Report

This report will give you the list of all sessions and the basic analytics for each session, such as how many attended, average watch time, average engagement, and number of documents downloaded.

  • Go to Analytics > Sessions

  • Click Download

  • Select Session Overview

This report will give you information on all sessions with the following fields:

  • Session Name

  • Session Date

  • Session Length - duration length of the video

  • Number of Attendees Registered - total number of attendees who only pre-registered, attended during the live session and attendees who only watched the recording after the session

  • Number of Views (Live) - total number of attendees that joined the session while it's live

  • Average Watch Time (Live) - average duration of how long attendees stay inside the live session counted in HH:MM:SS

  • Engagement (Live) - average duration of how long attendees stay inside the live session in percentage

    • Workshop - if the workshop runs for an hour as scheduled this would be the consolidated time an attendee stays in the session, they can come and go and their time spent within the session will be counted by 10-second intervals.

    • Main Stage and Regular session - if the mainstage or regular session runs for 45 minutes even if the scheduled time is an hour we only will count the session run time, still this would be the consolidated time an attendee stays in the session, they can come and go and their time spent within the session will be counted by 5-second intervals.

  • Number of Views (Recorded) - total number of attendees that joined the session after the session has ended

  • Average Watch Time (Recorded) - average duration of how long attendees stay inside the replay session counted in HH:MM:SS

  • Engagement (Recorded) - average duration of how long attendees stay inside the replay session in percentage

  • Documents - this will show as YES if at least one attendee has downloaded a document from the session

  • Total Document Downloads - this will populate if the Documents field shows as YES. This is the number of times the documents have been downloaded.

  • Unique Document Downloads - this will populate if the Documents field shows as YES. This represents the number of unique documents downloaded.

  • Documents Downloaded - this will populate if the Documents field shows as YES. This shows the filenames of the documents that have been downloaded.

Session + Attendee Comparison Report

This report will show you the list of attendees and which sessions they attended and pre-registered for. It has fields for the attendee name and email; the rest of the columns will show the session names. Under each session, it will indicate whether an attendee joined the sessions or registered for them without attending.

  • Go to Analytics > Sessions

  • Click Download

  • Select Session + Attendee Comparison

  • Joined - the attendee entered the session, live or replay

  • Registered - the attendee only pre-registered (bookmarked / saved a seat) for the session but did not enter

  • Blank - the attendee did not pre-register or enter the session


Individual Session Report

This report will show you the list of attendees who joined a particular session. This will include the attendees' order form field answers, ticket type, their engagement to the sessions and their session check in and check out time.

  • Go to Analytics > Sessions

  • Click the Download icon from the session

The report has these fields as a default:

  • First Name

  • Last Name

  • Email

  • Ticket Type

  • Registered Date - date and time when the attendee pre-registered for the session. If they did not pre-register, it would show the date and time they entered the session. The time is in GMT.

  • Attended Live - status whether the attendee joined the live session or not. It will register their status as Yes (attended) as soon as they enter the session.

  • Live Watch Time - total time spent by the attendee inside the session

  • Watched Recording - status whether the attendee watched the session recording or not. If the attendee watched both live and the recording after, that will be captured as "Yes" on both the Attended live and Watched Recording columns.

  • Recording Watch Time - total time spent by the attendee watching the recording

  • Session Duration - total time spent during a workshop session

  • Documents - indicates whether the attendee downloaded a document (yes / no)

  • Total Document Downloads - the number of times the documents have been downloaded

  • Unique Document Downloads - represents the number of times each unique registrant has downloaded the document

  • Documents Downloaded - shows the filenames of the documents that have been downloaded

  • Check-in Date - shows the date and time the attendee checked into the session

  • Check-out Date - shows the date and time the attendee checked out of the session. This is applicable only to in-person sessions, see this article on Session Check Out.

  • The Session Duration will only appear on workshop session analytics.


Other Reports for Each Session

When you click a session in the Analytics tab, it will open the right side menu where it will show you the Analytics tab with almost the same data as the Session Overview report and the other tabs will show you more details that's already available in the Individual Session Report. The unique data you can find here is the Session Graph and reports for polls, Q&A and chat.

  • Go to Analytics > Sessions

  • Click the individual session to open the right-side menu

    • Analytics - a line graph will indicate which parts of the session had the most attendees; this is available for higher plans. There's also a button to download the Session Graph and the Session Chat.

    • Attendees - this will show the attendees who registered and attended the session. This also shows the list of downloaded documents per registrant. These data are downloadable.

    • Polls - this will show the poll results with an option to download the results.

    • Q&A - will show which attendees submitted questions, the questions themselves, and the written answers with an option to download the report. Click here to learn more about Q&A.

Downloadable Reports

You can also find some of the session reports above in the Downloadable Reports tab in Session Analytics. Select all the reports that you want to download, then click on Download Selected.
