Keep Track of Your Preferred Sessions
Some events have an overwhelming number of sessions. Bookmarking or saving seats for sessions makes it easier for attendees to plan their day and build their agenda.
While bookmarking and saving seats is not required, it's a great way for attendees to remember which session they are interested in by bookmarking them, and when they're ready to commit, they can save a seat for the sessions they want to attend. They can also easily view their selected sessions in the My Sessions tab.
What's the Difference of Bookmark and Save a Seat?
Bookmarking means you're marking the session as one you're interested in or want to remember to check out later. Think of it like adding something to a "favorites" list.
Saving a Seat means you’re officially reserving your spot in that session by registering for it. It's best to save a seat if the session has limited capacity.
Bookmarking and saving a seat can be done through the agenda. It's available on the landing page, virtual event hub and attendee app by clicking the bookmark icon and save a seat button. You'll know if the session is bookmarked if the icon is blue and the seat is saved if the button is grayed out. You'll also see these sessions under My Session.
Important Notes:
Attendees must be logged in to save a seat or bookmark sessions
If you have limited session capacity, you must enable the feature to Restrict registrations to session capacity to ensure that the attendee is guaranteed a seat when they save it, and that no other attendees can register for the session if the capacity is reached.
Attendees who are not allowed to save a seat to the session can still bookmark the session.
If you attended a session without saving a seat, the session will show in My Sessions
Attendees who have saved seats for private sessions cannot unregister themselves from the private sessions.
Speakers can bookmark and save a seat to their session. They cannot do it for other sessions if they do not have a ticket.
Admins can bookmark and save a seat.
There are no other settings for bookmarking, you can only enable or disable this feature.
Enable or Disable the Save a Seat and Bookmark Feature
These buttons are displayed in the agenda by default. However, you can hide these features if you don't want to use them.
Go to Event Content > Agenda
Click Settings
Enable / disable the settings to allow attendees to bookmark sessions or register for session
Save a Seat Settings
In the same Settings menu, you'll find more save a seat options including applying the seat reservation to the session capacity, customizing the save a seat button labels, and settings other save a seat rules.
Apply the Seat Reservation to the Session Capacity
If your sessions have limited capacity and you want to ensure that everyone who reserves a seat is counted towards the capacity, you need to turn on the toggle to Restrict registrations to session capacity.
When this is enabled, the save a seat button will be grayed out when the number of attendees that have saved a seat is the same as the session capacity. When the session starts, only those who saved a seat can enter the session. Other attendees who did not save a seat will get a notification that the capacity has been reached when they try to enter.
Important Notes:
If this toggle is NOT enabled and a capacity is set, attendees can still save a seat even if the capacity is reached.
When the session starts, it will be on a first come first serve basis, so even those who did not save a seat can enter as long as the session attendance is not yet at full capacity. So it is possible that those who saved a seat cannot enter if they try to come in when the session attendance is already at full capacity.
If you're not turning on this toggle, we highly suggest relabeling the save a seat button to avoid confusion.
Customize the Save a Seat Button Label
In Registration Button Labels, you can change the Save a Seat button labels depending on the status.
Save a Seat Rules for Concurrent Sessions
By default, attendees can save a seat for any session as long as their ticket is allowed to join the session and the capacity is not reached. The save a seat rules allows you to restrict them from registering to multiple sessions happening at the same time. This way they won't mistakenly create conflicts if they save seats for overlapping sessions. You can customize these in the Registration Rules section.
There are 3 rules you can set:
1. Attendees can register for concurrent sessions (default - no restriction)
2. Attendees can register for concurrent sessions with minimal overlap (e.g. 15 minutes overlap)
Check the box to Allow attendees to register for concurrent sessions within timeframe defined", then define the overlap duration.
3. Attendees cannot register to concurrent sessions (even if it's just a 1 minute overlap)
Choose this if you don't want attendees to be able to save another seat if the session(s) they are trying to reserve overlaps with a session that they have already registered for, even if it's just a 1 minute overlap.
Save a Seat Confirmation Email
Turn on the Send registration "seat saved" confirmation email feature if you want attendees to receive a confirmation email every time they save a seat.
You can edit this email by clicking Customize Email, you will be redirected to the order confirmation menu to customize the Default Save a Seat Email template.
Bookmark and Save a Seat in the Attendee App
From the Sessions tab of the Agenda, click the Bookmark icon or Save a Seat. The bookmark icon will change to blue and the button will change to "Seat Saved" after successfully bookmarking or saving the seat for the session. To remove the selection, click the icon or the button again.
If the event is not open, click Show All in the agenda to see the bookmark and save a seat options
When the event opens, all the selected sessions will appear in the My Schedule tab in the Agenda. This tab will also show the attendees' scheduled meetings and other sessions they've attended.
