Map Auto-Generated Data from Accelevents to HubSpot

With the Accelevents to HubSpot integration, you can include order information in the data transfer aside from the attendee's basic information.

In this article, you'll learn how to export auto-generated data from the Accelevents order, such as the order number, ticket name, ticket number, ticket status, attendee QR code, discount codes and access codes, paid amount, magic link, and the tracking link used to purchase the ticket by mapping these fields in the HubSpot Integration.

Auto-Generated Accelevents Data

In the Configure HubSpot Mapping menu in Settings > Integrations > HubSpot Configure, you can search for the auto-generated data fields from the Accelevents dropdown.

Accelevents Field Name

Data

Order ID

This is the order number in Accelevents.

This should be mapped to a number field in HubSpot.

Ticket ID

This field will show the ticket number.

This should be mapped to a number field in HubSpot.

Ticket Type

This is the Ticket Name in Accelevents.

This should be mapped to a text field in HubSpot.

Barcode ID

This is the Attendee QR Code. It will appear as an alpha-numeric code.

This should be mapped to a text field in HubSpot.

Tracking Link

This is the tracking link name. This field will populate if a tracking was used to purchase the ticket.

This should be mapped to a text field in HubSpot.

Ticket Status

This is the ticket status. This field will indicate the status of the ticket.

This should be mapped to a text field in HubSpot.

These are the ticket status values:

  • paid

  • unpaid

  • complimentary

  • refunded

  • partially refunded

  • partially paid

  • canceled

Coupon Code

This is the discount code. This field will populate if a discount code was used to purchase the ticket.

This should be mapped to a text field in HubSpot.

Access Code

This is the access code. This field will populate if an access code is used to unhide the purchased ticket.

This should be mapped to a text field in HubSpot.

Limited Display Code

This is the limited display code. This field will populate if the limited display link is used to unhide the purchased ticket.

This should be mapped to a text field in HubSpot.

Paid Amount

This is the paid amount. This field will populate the amount paid at the time of ticket purchase.

This should be mapped to a text field in HubSpot.

Magic Link

This is the attendee's magic link. This field will populate the unique magic link for attendees.

This should be mapped to a text or URL field in HubSpot.

Step 1: Create HubSpot Properties (fields)

You'll need to create matching contact properties in HubSpot so that the data will land on the designated field.

  • Log in to HubSpot

  • Go to Settings

  • Select Properties under Data Management

  • Click Create Property

Step 2: Map the fields

After you create the property fields in HubSpot, you can refresh your admin console to see the properties from the dropdown. Select the matching fields, then click Save.

Test the Auto-Generated Mapping

Sign up for the event using the tracking link, access, and discount code. Check the contact in HubSpot to see if the data auto-populated for the fields you added.

Notes:

  • The QR image will not show in HubSpot. Instead, the QR code will be converted to a Barcode ID.

  • The fields will also update when refunds or exchanges are done.

  • If it's a partial payment to a partial refund, the status will not change. It's still partially paid.

Ticket Status Updates

Paid

  • This is the status if the ticket is free

  • This is the status if it's a fully paid ticket

  • This is the status if a partially paid ticket is fully paid (this is currently not working, we're fixing this. For now it remains as partially paid)

Unpaid

  • This is the status if the payment type is unpaid (from the admin console)

  • This is the status if the payment type is invoice (pay later)

Complimentary

  • This is the status if the payment type is complimentary (from the admin console)

Partially Paid

  • This is the status if a partial payment is applied to an unpaid order

  • This is the status if a deposit was made during registration

Partially Refunded

  • This is the status if the ticket is fully paid, then a partial refund is applied

Refunded

  • This is the status if a full refund is applied

  • This is the status when the ticket is deleted

  • This is the status if the refunded ticket is canceled

Canceled

  • This is the status if the ticket is refunded and canceled

  • This is the status if the ticket is not refunded and canceled
