Filtered Attendees, Sessions and Speakers Views
The Smart Views feature allows you to create dynamic filtered views in Attendee Management, Agenda and Speakers. These filtered views can be shared with other team members and you can also share a link for those who do not have access to the event.
For smart views in Attendee Management, these can also be saved as dynamic contact lists for your Engage Emails and Push Notifications. You can also schedule sending these lists as CSV files.
Create Smart Views
On top of Attendee Management, Agenda and Speakers table, you'll see the + Add View option. Click that and give your view a name. Choose whether it's visible to only your or other team members too.
To customize your view, add your filters and choose which columns to show. When you're done click Save.
Note: if you're in Attendee Management, you can add your filter / columns first and then save to create the view.
Share a Link for the View
Aside from making your smart views visible to other team members, you can share a link to non-team members to view what you've created. Users can only view and download the list from the link, they have no option to edit the view.
Click the 3 dot menu
Select Share (this changes to Manage Sharing after you've enabled sharing)
Copy the Public Link
You can also require a password for views to ensure that only those authorized can view the list. You can also turn off the sharing feature. Other team members cannot share the view you've created, only the creator can share the view.
Send Scheduled Reports Through Email
This is available only for Attendee Management
You can schedule reports to be sent through email. It can be sent daily, weekly or post-event, and you can add up to 10 recipients.
Click the 3 dot menu
Select Schedule Report
Click Schedule Report again to add the schedule details
The email would look something like this with the report attached as a CSV file.
Other Smart View Settings
Add Smart Views of Team MembersIf other team members created shareable smart views, you can click + Add View and select it from the options.
You cannot make any changes to smart views created by other team members, you can only duplicate them. | |
Update Smart ViewsIf you update the filters on the smart view you've created, you can click Save to update it.
When other team members refresh, they will see your updated smart view. | |
Hide Smart ViewsHover over the view name and click "X"
This hides the tab from your display and does not delete or hide it for other users. | |
ExportClick the Export button to download the list as a CSV file. This will include the columns displayed. | |
Other Smart View OptionsYou can still change the visibility of the smart views you created and add or remove it as a smart list through the Settings icon in the 3 dot menu.
You can also undo your filter changes before saving, duplicate and delete the list. |
Use Smart Lists for Engage Emails and Push Notifications
Smart Lists are available only for Attendee Management
A Smart List is basically a recipient list for engage emails and push notifications.
While creating your Attendee Management smart view, you'll see the option to also Save this view as a Smart List. Or if your view is already created, you can click the 3 dot menu and change it from the settings.
When a Smart List is created, it will be added to Engage > Contact Lists.
When you click on a smart contact list, it will redirect to Attendee Management where you can edit the Smart View. Any changes in your smart view will also reflect on the smart list. If the smart list is deleted, it does not delete the smart view. To reinstate the smart list, the creator of the smart view must make the view a smart list again through the smart view settings.
When creating Engage Emails or Push Notification, the smart lists should appear in the recipient or audience list.
