Live Streaming in the Booth

The exhibitor booth allows you to showcase your content as an exhibitor and interact with anyone who enters your booth. With live streaming, you could set up more interpersonal meetings with leads who are interested in your company. Exhibitor booth live streaming can be hosted using the Accelevents Pro Exhibitor Studio or Zoom. This feature is only available when the virtual hub is accessed through a browser, not the attendee app.

To add a live streaming option to your booth, log in to your exhibitor account to access the My Booth tab.

Select Your Stream Provider

  • Go to the My Booth tab

  • Select Company Details

  • In the Live Stream field, choose either Pro Exhibitor Studio or Zoom.

Note: Please contact your event organizer if you paid for Accelevents Pro Exhibitor Studio and it's not appearing in the options.

Live Streaming with Accelevents Pro Exhibitor Studio

  • Select Pro Exhibitor Studio as the stream provider

  • Click Launch Live Stream

  • The live stream will show in the Live tab in your booth

  • Note: If you haven't launched your live stream, the Live tab will not appear for attendees. But if you've already launched it once, the Live tab will appear for attendees even if you're not live to stream or inside the booth.

  • Select your audio and video source, then click Join. Once you click Join, you are already live!

This will be your view as an exhibitor if an attendee has already joined you in your livestream:

Note: If you're looking at yourself, you may appear mirrored once your camera is on, but other attendees will see you in default view.

Join the Pro Exhibitor Live Stream as an Attendee

To know how attendees would join your live stream, you can test it by entering your booth and joining as an attendee.

  • From the Company Details tab, click View Booth

  • Select the Live tab

  • Click Join to enter the live stream as an attendee

  • Select your audio and video device, then click Join

This will be your view as an attendee if the exhibitor is already in the live stream:


Live Streaming with Zoom

  • Select Zoom as stream provider in your booth's company details tab

  • Add your Zoom Meeting ID and your passcode. You need to create your own from your Zoom account. Note that only the meeting ID is needed, not the full URL.

  • Start your Zoom meeting through your Zoom application. Once your meeting starts, it will also start in your booth.

Notes:

  • Ensure there are no extra spaces when you add your meeting ID and passcode.

  • Unlike the Pro Exhibitor Studio option, the Live tab will always appear even if you have not started your Zoom live stream.

  • Zoom meeting links with custom domains may not work.

Join the Zoom Live Stream as an Attendee

To know how attendees would join your live stream, you can test it by entering your booth and joining as an attendee.

  • From the Company Details tab, click View Booth

  • Select the Live tab

  • Click Join Meeting

  • Note: When the attendee clicks the Join Meeting button, you, as an exhibitor, should see a request to join the meeting from your Zoom application. Click that to add the attendee to your meeting.

  • Once joined, the attendee needs to select Join Audio by Computer.


This is your view as an attendee. Your video will appear as a separate box that you can move around.


Frequently Asked Questions

Do I need to have a camera connected to the live stream?

  • No, but it would be useful to have one, as your attendees will be interacting with you.

Can I share my screen for my presentation or videos?

  • Yes

How do I know how many people have joined the livestream?

  • For Pro Exhibitor, a number at the lower left of your live stream indicates the number of people in the live stream (including you). You may also click the gear icon to see the number of attendees. This information is only available during the live streaming; a downloadable list is not available.

  • For Zoom, click the participants' button to see the attendees list. You can download a list of participants from your Zoom account.

Can I switch the attendees' cameras off and put them on mute?

  • Yes

Can the live stream be recorded?

  • No, but if you're using Zoom, you can record directly in Zoom.

Can both live streams (Pro Exhibitor Studio and Zoom) run simultaneously?

  • No

How do I buy the $99 per day Pro Exhibitor?

  • You need to contact your event organizer directly

Do I have to be in the live stream all day?

  • That depends on you, but if you're away, you can unselect the Stream Provider so that the Live tab will be hidden from your booth to prevent attendees from trying to join while no one is present.

Can I test the live stream before the event starts?

  • Yes, you'll have 1 free Pro Exhibitor included to test it.

  • Yes for Zoom

Can more than 1 exhibitor admin be in the livestream?

  • Yes
