What is a Session Waiting Media?
When attendees enter a session early, they would see a countdown timer until the session starts. We allow you to replace that countdown timer with either an image or a video on a loop. You can add an image or video with your branding or your sponsors' logo for more exposure!
Important Notes
The session waiting media feature will work with Main Stage and Regular sessions using Accelevents Studio, RTMP, Wistia, Youtube, Vimeo, Vidyard, and Facebook Live. It will replace the countdown timer that appears before the session starts.
The session waiting media feature will also work with Networking and Workshop sessions. However, since Workshops and Networking sessions do not have a countdown timer when attendees enter early, they won't see the waiting image or video. They will only see it if they access the direct link to the session if the session is in the future (the join button is not appearing yet).
When attendees click the Main Stage Sessions tab anytime in the Virtual Event Hub, they will see the image or video if there is a main stage session coming up.
Format: JPG, PNG, GIF, MP4
Max upload size for MP4: 20MB
Max upload size for JPG, PNG, GIF: 10MB
We recommend using a media size of at least 1333 x 750 pixels (Aspect Ratio 16:9) with a maximum size of 3840 x 2160
An MP4 video file will play on a loop until the start of the session schedule. If the broadcast does not start on time, attendees will see a "The broadcast will begin shortly" message.
Replace the Countdown Timer with an Image or Video
The area within the red box is what you will replace when uploading an image or video.
To upload your image or video:
Go to Agenda & Speakers in your admin console
Click the 3-dot menu on the right side of the session and select Edit
Scroll down and click Advanced Settings in the session details menu
Turn on the toggle for Enable session waiting media
Upload or drag the file in the Add Media section below
After uploading, you can preview the image or play the video in that area.
