Allow Attendees to Create Their Own Lounge

Having a designated area to discuss specific topics can help increase attendee engagement and help event organizers gain more insight into their attendees. When attendees generate their own lounges, it will show which topics pique the interest of most attendees, and they can schedule a live forum to have a discussion on the topic. As an event admin, you can approve or deny lounges.

Notes:

  • Attendees can create lounges through the virtual event hub or attendee app

  • When this feature is turned on, all attendee-generated lounges will be subject to approval. Lounges created by event admins are auto-approved.

  • Admins can edit lounges created by attendees, except for the Live Forum date and time.

  • Other attendees cannot see pending and denied lounges.

  • Admin-created lounges are not included in the count of open lounges limit.

  • Attendees will be kicked out of the lounge if the status is changed to pending or denied.

  • The Live Forum is not applicable to in-person events.

Enable the Attendee-Generated Lounges Feature

  • Go to Engage > Lounges

  • Enable the toggle for Allow attendees to create lounges

Other Settings

  • Enable availability schedule—Enable this if you want to set a schedule for when lounges will be open. If turned off, lounges will be open all the time.

  • Video Chat Maximum Capacity - the number of people allowed in the live forum.

  • Open Lounge Limit - the number of accessible lounges at a time.

Create a Lounge

  • Go to Lounges in the virtual event hub or attendee app

  • Click the + Create button

  • Add a Name

  • Add a Description

  • Add optional tags (hit enter after every entry)

  • Add a Thumbnail (72 x 72 pixels)

  • Add a Banner Photo (1200 x 200 pixels)

  • Add the time of when the next live forum will be

  • Add the video chat maximum occupancy

  • Add the capacity (this setting is available only in the attendee app)

  • Click Create

Notes:

  • The live forum time and video chat maximum occupancy settings will only appear if attendee-generated lounges is enabled.

  • Although the Live Forum feature will not work for in-person events, the live forum time will appear in the lounge in the attendee app.

  • The video chat maximum capacity will appear in the attendee app, but will not apply to in-person events.

  • The capacity settings is only available in the attendee app.

Approve or Deny an Attendee-Generated Lounge

After the lounge is created, it will appear under All Lounges with a Pending Approval status. The creator can view the lounge and add content while waiting for the event admin's approval.

To approve or deny, click View on the lounge, then click the dropdown on top and select if the lounge is Approved or Denied. Once selected, the status will also be updated.

Note: As an admin you are not notified if a new lounge is created, you just need to check the Lounge tab for new lounges.

The lounge creator will receive an email notification if approved or denied.

Once approved, other attendees can join the lounge
