Create Booth Tiers For Exhibitor Ticket Allotments

If you're giving ticket allotments for exhibitors, you can add allotment logic to ensure that they can purchase only what's allotted for them. This ensures that the proper number of attendee tickets and discounts can be provided to exhibitors if that's part of their package. These tickets can be purchased directly in the Exhibitor Resource Center (ERC) or also know as the Exhibitor Portal, through the Team tab.

For example, you have a Platinum Exhibitor Package (exhibitor add on) and 4 tickets are included for free, and if they want to get more tickets, they can get up to 4 more at a 50% discount, then if they want to get more than 8 tickets, the 9th ticket will be at full price. You can create an allotment logic exactly for that scenario.

Or perhaps you have a free ticket that's only for exhibitors, you can combine a ticket logic (in Registration > Setup Tickets) and allotment logic for this to work.

You'll need to create exhibitor tiers and add the allotment logic per tier, and then associate the tier to a booth or associate it to an exhibitor add on if you're selling booths.

Having exhibitor tiers makes it easier for you to assign allotments, you don't need to go in to each booth settings to add each allotment logic, instead you can create the logic in the tier settings then assign the tier to existing booths. And if you're selling exhibitor add ons you can associate the tier to the add on to automatically assign it.

How Does It Work?

When exhibitors are given access to the ERC, they can click Buy Tickets from the Team tab. It will redirect to the registration page with the specific rules / allotments for that exhibitor where they can purchase the tickets that are allotted for them.

Before You Begin

Before you begin make sure you've already done the following:

  • βœ… Exhibitor Add Ons are already created if you're selling booths

  • βœ… Discount Codes are already created if you have specific discount codes for exhibitors

  • βœ… Understand how exhibitors can purchase tickets through the ERC

What are Exhibitor Tiers for?

Tiers are like categories and in each category you create a set of rules, which in this case we call exhibitor allotment or allotment logic. The rules we are referring to are rules on how many tickets they can purchase, which tickets they can purchase and how much discount they can get. You'll need to associate the tier to booths so that the rules under that tier will apply to booths.

So if the rule is that for everyone who purchases the highest exhibitor package, they get 10 free complimentary tickets, then you create a tier with that exact rule and associate the tier to the exhibitor package (add on) so that after they purchase the booth, they can get their 10 complimentary tickets later.

Create Exhibitor Tiers

  • Go to Exhibitors & Sponsors > Exhibitors

  • Select Tiers

  • Click + Create Tiers

  • Add the Tier name

  • Select a color

  • Associate the tier to an exhibitor add on (do this only if you're selling exhibitor add ons that the tiers are automatically associated to the auto-generated booths)

Repeat the same steps until you've added all tiers.

Assign Tiers to Existing Booths

If you're not selling booths, you can assign the tiers per booth. For booths created through exhibitor add on purchases, the tier should automatically be assigned for the booth if the tier is associated to the add on.

  • Open the booth for editing

  • Select the tier in the Exhibitor Tier dropdown

Add Exhibitor Allotment

There are a couple of ways to add the exhibitor allotment rules.

  • Allotment Logic in Tiers - add your logic in tiers if the rule will apply all booths in a specific category

  • Allotment Logic in Booths - add your logic in booths if you have a specific rule for individual booths

In this article, we are adding the rules in the Exhibitor Allotment tab in Tiers instead of booths.

After creating the tier, the Exhibitor Allotment tab will be available for editing. In this menu you can add rules to show or hide other tickets and add ons if the add on associated to the tier is selected during registration. You can also create a rule to automatically apply a discount to all tickets or a specific quantity.


Example 1 - Platinum Package gets 4 complimentary tickets, 50% discount on the next 4

In the example in the beggining of this article, this is the allotment we're giving those who have the Platinum Booth Package:

  • 4 complimentary tickets

  • 4 paid tickets at 50% discount

  • Excess at full price

In the setup below, we created 3 rules for the Platinum Booth Tier to accommodate the allotment above.

  1. Show the ticket Attendee Pass

  2. Apply a discount to the Attendee Pass

    1. The first 4 tickets at 100% off

    2. The next 4 tickets at 50% off

    3. No discount after they purchased all 8 tickets

  3. Hide all the other tickets so only Attendee Pass will show

When they purchase tickets from the Team tab in the ERC, they will see only the Attendee Pass and proper discounts will apply as seen below, they are paying only $250 because the first 4 are free and the 5th ticket is at 50% discount.


Example 2 - Platinum Package gets 10 free tickets

Regular attendees have paid tickets, and you have a free ticket just for your exhibitors up to 10 tickets per booth, so you want to hide the exhibitor ticket from the regular registration flow.

Part 1: Hide the ticket from regular flow and show it only in the ERC

Since it's going to be hidden from the regular flow and show it only in the exhibitor process, there are a couple of approaches to do this.

1. Hide the ticket under an access code and give exhibitors the access code

Currently there is no option to automatically apply the access code if they are buying tickets from the ERC, so exhibitors will have to manually apply it.

2. Hide the ticket by adding a ticket logic

With this approach, the ticket is hidden from the regular registration page starting on a specific date and it would show the ticket in the ERC without having to apply an access code. You'll need to create a ticket logic in Registration > Setup Tickets.

Part 2: Limit the number of tickets they can purchase

Now that the ticket is showing only in the ERC, you'll have to create a second logic in Allotment Logic to add a limit to the number of free tickets they can get, you can add 3 allotment logic rules.

  1. Show the free exhibitor ticket

  2. Limit the quantity of the exhibitor ticket to only 10

  3. Hide the rest of the ticket type from this flow

When they purchase tickets from the Team tab, they will see only the Exhibitor Pass and can buy up to 10 tickets only. If they purchase some of the tickets, the remainder will still be available when they revisit the page.

If they've purchased all 10 already and revisits the page, the Exhibitor Pass will be grayed out as they can no longer get more tickets as seen below.
