The Magic Link Email
The magic link email is an email you can send to attendees if they need help logging in to the event. All they need to do is click the link from the email, and then it will automatically log them into the event. It is also sent automatically to those who register an hour before your event opens. Attendees can also send this email to themselves.
How Does it Work?
When attendees click the magic link, they will automatically be logged in to the event. It won't require them to create or enter a password. If the event isn't open, they will still be logged in and redirected to the landing page.
What happens when the attendee clicks the magic link?
If the event is open, they will automatically be logged in and redirected to the virtual event hub.
If the event is not yet open, they will automatically be logged in and redirected to the landing page.
You'll know that the attendee is logged in if their name and profile photo (if they had added any) appear on the upper right corner of the screen.
If they click the link from their mobile device and have the attendee app installed, they will automatically be logged in to the app.
Will the link work every time you click it?
The magic link sent by the event admin will work when clicked anytime before the end of the post-event access period. It can be clicked multiple times on a different device or browser.
Magic links sent by attendees to themselves can also work multiple times, except for emails triggered through the landing page and attendee app.
Why use the magic link instead of logging in directly from the landing page?
When an attendee tries to log in from the landing page, they will be required to enter a password, and if they don't have one yet, they will be asked to create one. This process can be long, so we made it easier with just one click.
Since they are clicking from their inbox, we can verify that the person clicking it is the person who owns the email address, and that process will bypass the password creation steps.
Can attendees send a magic link to themselves?
Yes, and there are a couple of ways to do it. From the landing page, they can click the login or sign-in button. After they enter their email address and click continue, they should see the option to send the magic link. This is a one-time use magic link, but they can always resend a new one.
If the magic link or join event button in their inbox has already expired, they can click it again. This will open a new tab where they can click the Resend Magic Link button. This is a one-time use magic link, but they can always resend a new one.
If they access the direct link to the virtual event hub and enter their email address, they can click the button to send a magic link if they have no password yet.
If they use the attendee app, they will see the Send Magic Link button after entering their email address and clicking Continue. This is a one-time use magic link, but they can always resend a new one.
What if the Magic Link doesn't work in the app?
Use a 4-digit code instead of the magic link for the attendee app
The magic link email requested through the app has a 4-digit code that attendees can use if the magic link isn't working. They can click "Enter code" from the app and use the code found in the magic link email.
Is the Magic Link available in the Order Confirmation?
Yes, it appears at the top calendar invite. If the event is added to the calendar through that invite, the link will be saved in the location field. This is a one-time use magic link, but if you click again, it will prompt the user to resend a new magic link.
If the add to calendar button is clicked from the email body, the magic link will be added to the description field.
Are there other links or buttons that work like the magic link?
The Join Event button in the order confirmation email works like a magic link, making it easier for attendees to enter the event. However, this works only the first time it's clicked. The next time they click it, they will get a pop-up to resend a magic link.
Send a Magic Link to an Attendee
Go to Attendees > Orders in your admin console
Search for the attendee
Click the 3-dot menu under the Actions tab (not the one on top)
Click Send Magic Link
The email would look something like this:
Send the Magic Link to All Attendees
If you want to send the magic link to all attendees, click the Send Magic Links to All Attendees button at the top right of the Orders tab.
Send the Magic Link Through an Engage Email
To send a custom email with a magic link, create one through Engage Emails and add the magic link merge tag. This also allows you to choose your recipients depending on the registration status or ticket type and schedule when the email will be sent.
Resend, Copy, and Expire the Magic Link in Attendee Analytics
In the Attendee Analytics tab, you can also send the magic link to the attendee.
Go to Attendee Analytics
Click the 3-dot menu
Select Manage Magic Link
After sending the magic link, you will see the other options to copy and expire the link.
Expiring the magic link means that any existing magic links in the attendee's inbox will no longer work. This also includes the join button in the order confirmation email. If you have previously exported the magic link (e.g., downloaded report or integration mapping), these links will no longer work.
If you check the box to generate a new magic link and copy it to my clipboard, the new and working magic link will be automatically sent to the attendee's email inbox.
Download the Magic Links in Check In Attendees
To download a CSV file with all the attendee magic links, download the Ticket Holder Data
The magic link will be available in the downloaded Ticket Holder Data CSV file.
Note: This link appears only in this report downloaded in the Check In Attendees area.
