Join Sessions Through The Attendee App

Join in and watch event sessions from your phone

If you're an admin, please register for the event using a non-admin email to test the behavior. As an admin, you're able to enter the sessions even if they are future sessions.

To join sessions through your phone or tablet, you can now download the Accelevents Attendee App, which is available for iOS and Android users.

If the event is already open when you log in to the app, click the agenda button to join sessions. Depending on the type of event, you'll see a Join Session button or View Details button when the session is live. Below you'll learn what to expect when joining a session.

Important Notes:

  • As an event admin, you can enter sessions through the app before the session starts.

  • The Join Session or View Details button for the session will show for all session types except for Networking.

  • For workshops, the video broadcast will not show. Attendees can only join the chat, Q&A, and polls.

  • When an attendee clicks the View Details button in an in-person session, that counts them as attended.

  • ⚠️ If an attendee joins the session through the attendee app, they will be marked as checked in.

    • If you need to monitor which attendees are at the venue, we suggest using Admin App or Staff Portal session check ins. When they arrive at the venue and you see that they are already checked in (from the attendee app), check them out and check them in again so that you'll see them in the report as checked in to the venue.

    • If you want to use the Kiosk, you can instruct your attendees to check out and check in from the kiosk (if they have joined the session in the attendee app), but you may risk getting inaccurate data if they do not all follow this.

    • Another option is to create 2 sessions, a hidden session that will be used only for attendance (it's not going to be hidden for session check in), and another public session for attendees.

Locate the Sessions in the Attendee App

If the event is already open, you will be redirected to the event's home or lobby page when you log in to the attendee app. From there click the Agenda to see the list of sessions with the basic session information including the session name, session type, schedule and location for in person sessions.

You'll also see indicators whether the session has ended, if it's live and if it's happening soon. You may also see a button for "Save a seat" if it's a future session. When you save the session, the session will be added to "My Schedule" in the agenda.

See the Session Information

When you click a session, it will open a page where it will show more session information, such as the description, speakers, and associated tags and tracks. At the bottom you'll see a button depending on the session schedule and the event type that will allow you to reserve a seat for the session, watch the session video broadcast, or join the chat and other sessions activities.

🔵 Future Session Button

"Save a Seat" for Future Sessions

If it's a future session the "Save a seat" button will show if that feature is enabled. When you save the session, the session will be added to "My Schedule" in the agenda. If this feature is not enabled, then you won't see any button at the bottom until the session opens.

Note: The button label is customizable so this may not be the exact label you see.

Notes:

  • As an admin, you won't see the save a seat option on that page because you can enter sessions even before they open. So you will see the Join Session or View Details button.

  • Save a seat will appear for any type of session, including break, other and expo.

🔴 Live Session Buttons

"Join Session" Button for Live Sessions for Virtual and Hybrid Events

The "Join Session" button will appear when the session is live and it's a virtual or hybrid event. After you click the button, it will show you the live session's video broadcast.

Note: If it's a Networking session the button won't appear, therefore they won't see the 2 tabs for details and activity.

Details

Activity

The Details tab will have the session description, the list of speakers for the session, sponsoring companies, downloadable documents, and links.

The Activity tab is where you can participate in the chat, see the list of attendees who joined the sessions, answer polls, and ask questions.

"View Details" Button for Live Sessions for In-person Events

Important Note: Clicking the View Details button counts the attendee as checked in to the session.

If the event is in person, instead of seeing a "Join Session" button, you'll see a "View Details" button. When you click that, it will show you all the same information found in the Details tab in a virtual session. On top, if you click Activity, you'll be able to join the chat, Q&A, polls, and survey. Since this is an in-person event, a video broadcast will not show in the session.

  • If it's a Networking session the button won't appear, therefore they won't see the 2 tabs for details and activity.

  • When attendees click View Details, they will be counted as checked in to the session.

⚪ Past Session Buttons

"View Recording" for Past Sessions for Virtual and Hybrid Events

To look for a past session in the app, go to the Agenda and go to the particular date to see the session or you can use the filter to show past sessions while viewing all dates.

The "View Recording" button will show for any session that has a recording, except for Workshops, instead the button for workshop will be "View Details"

"View Details" for Past Workshop Sessions for Virtual and Hybrid Events

If the event is virtual or hybrid and you will see a "View Details" button for workshop sessions. When you click it and there is a recording, you should be able to watch it.

"View Details" for Past Sessions for In-person Events

If the event is in-person, there wouldn't be a recording for past sessions, so what you'll see is still the "View Details" button, same as when the session was live.
