Adding Closed Captioning to Your PowerPoint Presentation

Engage your audience with live captions throughout your presentation.

PowerPoint has a live captioning feature that you can use to keep your audience engaged with your presentation

There are two ways to make this work depending on your requirement:

Live Closed Captioning for One Language

The steps below will allow closed captioning to appear below your presentation, which attendees will see through the virtual event hub while you're sharing your screen.

Important Note: This will only work if you share the presentation in full-screen mode (Presenter View).

1. Set Up Your Slide Show

  • Open your PowerPoint presentation

  • Click the Slide Show menu

  • Click Subtitle Settings

  • Choose your Spoken Language - this is the language you will speak while presenting.

  • Choose your Subtitle Language - this is the language of the text that will appear to your audience.

2. Share Your Presentation in the Accelevents Studio

  • Click the Share button.

  • Select Share Screen

  • On the pop-up, select the Entire Screen tab.

  • Choose the screen you want to share (where your presentation will show)

  • Click Share

  • Click Presenter View from your PowerPoint presentation

  • Click the closed captioning icon [CC] at the bottom of the presenter's view

  • Start talking. The closed captions should show below the presentation.

  • If you're on camera, your image will show below the presentation. This will be your attendees' view:

Live Closed Captioning for Multiple Languages

You may require closed captioning in different languages if you have an international audience. When presenting through PowerPoint Live, attendees can choose which language they want for the live captioning. They can access a separate page where they can select their language.

The steps below will allow closed captioning to appear on another page along with your presentation, where attendees can change their language preferences.

Important Note: This will only work if your PowerPoint is saved and presented through the web.

1. Save Your PowerPoint to OneDrive

  • Click File

  • Select Save a Copy

  • Select OneDrive for Place

  • Click Save

2. Open Your Slides in OneDrive

  • Open the file

  • Go to the Slide Show menu.

  • Click Present Live

  • A short introduction will be shown where attendees can scan the QR code that directs them to the page where they can see the live captions. The direct link will also show on the screen. You can copy that link and paste it into the session chat so that non-mobile users can click that link.

  • When you're ready to present, click the Show Slides button (you can do this after your share your window or screen in step 3).

  • The closed captions should appear on the new page the attendees are accessing.

  • For attendees to change the captions to their preferred language, they need to click the current language on the lower left side to select a new language. The new language will only apply to the individual who chose it.

3. Share Your Window or Tab Through the Accelevents Studio

  • Click the Share button.

  • Select Share Screen

  • On the pop-up, select the Window or Chrome tab.

  • Select the Chrome window or tab that you're using for the presentation

  • Click Share

  • Note: You can choose the PowerPoint Live presentation without the captions or the second page where the captions are showing. It depends on what you want to show.
