Keep Track of Your Preferred Sessions

Some events have an overwhelming number of sessions. Bookmarking, saving seats or joining the session waitlist makes it easier for attendees to plan their day, build their agenda, ensure they don’t miss high-demand sessions, and stay informed if a spot becomes available. Whether attendees are browsing the agenda in advance or navigating a live event, bookmarking and seat-saving features make it easy to manage their event experience.

While bookmarking and saving seats is not required, it's a great way for attendees to remember which session they are interested in by bookmarking them, and when they're ready to commit, they can save a seat for the sessions they want to attend. They can also easily view their selected sessions in the My Sessions tab.

What's the Difference of Bookmark, Add to My Schedule and Save a Seat?

Bookmarking means you're marking the session as one you're possibly interested in or want to remember to check it out later. Think of it like adding something to a "favorites" list. At this time, you may not be committing to attending the session.

Add to My Schedule means you're definitely interested, and you're attending. If this is the button available in the session, it means there's no limit to the number of attendees than can join this session.

Saving a Seat means you’re officially reserving your spot in that session. Save a seat appears if the session has limited capacity.

These options can be done through the agenda's session card. It's available on the landing page, virtual event hub and attendee app. You'll know if the session is bookmarked if the icon is blue and added to your schedule / saved a seat if the button is grayed out. You'll also see these sessions under My Sessions / My Schedule.

Important Notes:

  • Attendees must be logged in to bookmark, add to schedule or save a seat.

  • ⚠️ If a session has limited capacity, you must enable the feature to Restrict registrations to session capacity to ensure that the attendee is guaranteed a seat when they save it, and that no other attendees can register for the session if the capacity is reached. Adding only a capacity value does not guarantee a seat.

  • Bookmarking and Save a Seat/Add to My Schedule are separate settings, so if you disable Save a Seat/Add to My Schedule, they can still bookmark.

  • Save a Seat / Add to My Schedule marks the attendee as registered (in Attendees tab in the session settings).

  • If an attendee joins a virtual session or is checked in by an admin to the session without saving a seat, they will be marked as registered (in Attendees tab in the session settings) and the session will show in My Sessions.

  • Attendees who are registered to private sessions cannot unregister themselves from the private sessions.

  • Speakers can bookmark and save a seat to their session. They cannot do it for other sessions if they do not have a ticket.

  • Admins and staff cannot bookmark networking sessions.

  • There are no other settings for bookmarking, you can only enable or disable this feature.

Enable or Disable the Save a Seat and Bookmark Feature

These buttons are displayed in the agenda by default. However, you can hide these features if you don't want to use them.

  • Go to Event Content > Agenda

  • Click Settings

  • Enable / disable the settings to allow attendees to bookmark sessions or register for session

Add to My Schedule Button

By default, the button in the session card will be labeled Add to My Schedule. It will change to "Interested" after they click it. This applies to both browser and attendee app.

⚠️ If a capacity value is added to the session settings, the button changes to "Save a Seat"

Save a Seat Settings

Aside from adding a capacity value in the session settings, you'll need to Restrict registrations to session capacity if you want to that everyone who saves a seat is counted towards the capacity. Adding a capacity alone does not stop other attendees from saving a seat even if the capacity is reached, it simply changes the button to save a seat.

Apply the Seat Reservation to the Session Capacity

If your sessions have limited capacity and you want to ensure that everyone who reserves a seat is counted towards the capacity, you need to turn on the toggle to Restrict registrations to session capacity inn Event Content > Agenda > Settings.

When this is enabled, the save a seat button will be grayed out when the number of attendees that have saved a seat is the same as the session capacity. When the session starts, only those who saved a seat can enter the session. Other attendees who did not save a seat will get a notification that the capacity has been reached when they try to enter.

Important Notes:

If this toggle is NOT enabled and a capacity is set, attendees can still save a seat even if the capacity is reached.

When the session starts, it will be on a first come first serve basis, so even those who did not save a seat can enter as long as the session attendance is not yet at full capacity. So it is possible that those who saved a seat cannot enter if they try to come in when the session attendance is already at full capacity.

If you're not turning on this toggle, we highly suggest relabeling the save a seat button to avoid confusion.

Customize the Save a Seat Button Label

In Registration Button Labels, you can change the Save a Seat button labels depending on the status. This settings will only apply to sessions with set capacity.

Allow Attendees to Join the Session Waitlist

When you enable the session waitlist if capacity is reached, the Save a Seat button will be replaced with a "Join Waitlist" button for those who have not registered for the session when all the slots are taken. When they click the button to join the waitlist, the button label will change to "On Waitlist." They can click the button again to remove themselves from the waitlist.

Note: If their ticket has a restriction (e.g. number of sessions to register for is reached or not allowed to register for concurrent sessions), the restriction will still apply, therefore they won't be able to join the waitlist. They will get an error message based on the restriction.

Automatically Approve the Session Waitlist Request

When you enable Automatic Mode under Session Waitlist, attendees who are in the waitlist will automatically get a spot if a seat opens up in a full session, provided they have no scheduling conflicts. The first one in the list will get the first available seat. This reduces manual oversight and ensures your most popular sessions stay at maximum capacity.

Manually Approve / Deny the Session Waitlist Request

To manually approve or deny their request, you can open the session settings and go to the Attendees > Waitlist tab. Click the Register to approve them, they will automatically be added to the registered tab and will be removed from the Waitlist tab. No need to increase the session capacity when you approve attendees. The attendee should see the button change to "Seat Saved" after approving them. You can click the X to deny the request.

Approving a Waitlisted Attendee into a Conflicting Session

If you're approving their waitlist request and you're not allowing them to register for concurrent sessions, you'll see a pop-up if there is a schedule conflict. You'll see the other sessions in the pop-up and you can override and allow them to be registered for both or remove them from the other session.

Save a Seat Rules for Concurrent Sessions

By default, attendees can save a seat for any session as long as their ticket is allowed to join the session and the capacity is not reached. The save a seat rules allows you to restrict them from registering to multiple sessions happening at the same time. This way they won't mistakenly create conflicts if they save seats for overlapping sessions. You can customize these in the Registration Rules section.

There are 3 rules you can set:

1. Attendees can register for concurrent sessions (default - no restriction)

2. Attendees can register for concurrent sessions with minimal overlap (e.g. 15 minutes overlap)

Check the box to Allow attendees to register for concurrent sessions within timeframe defined", then define the overlap duration.

3. Attendees cannot register to concurrent sessions (even if it's just a 1 minute overlap)

Choose this if you don't want attendees to be able to save another seat if the session(s) they are trying to reserve overlaps with a session that they have already registered for, even if it's just a 1 minute overlap.

Save a Seat Confirmation Email

Turn on the Send registration "seat saved" confirmation email feature if you want attendees to receive a confirmation email every time they save a seat.

You can edit this email by clicking Customize Email, you will be redirected to the order confirmation menu to customize the Default Save a Seat Email template.

Register attendees automatically when scanned in (for Staff)

This feature is coming soon, stay tuned for updates!

For now, to allow Staff to do this, you disable Allow attendees to register for sessions or change the access to admin.

By default, team members with Staff access are unable to check in attendees to sessions if they are not pre-registered for it, only admins can do that. When you enable the toggle Register attendees automatically when scanned in, they are able to check in any attendee to the session, even if they are not pre-registered, given that their ticket is allowed to join the session and there is available capacity.

Bookmark, Add to My Schedule / Save a Seat in the Attendee App

From the agenda's Sessions tab, click the Bookmark icon or the Add to My Schedule / Save a Seat. The bookmark icon will change to blue and the button will change to "Interested" or "Seat Saved" after clicking. To remove the selection, click the icon or the button again.

If the event is not open, click Show All in the agenda to see these options.

When the event opens, all the selected sessions will appear in the agenda's My Schedule tab. This tab will also show the attendees' scheduled meetings and other sessions they've attended.

Register / Unregister an Attendee from a Session

If an attendee who previously Added to My Schedule / Saved a Seat can no longer attend, is a no show, or needs to be removed so their spot is released and records stay accurate, you can unregister them from Attendee Management.

  • Go to Attendees > Attendee Management

  • Click an attendee

  • In the right pane, click the Sessions tab

  • Click Unregister

You can also register attendees to sessions in the same menu by clicking the + Add to Session button. You'll be able to register them to sessions if their ticket is allowed to join that session, you cannot bypass the restrictions (e.g. capacity, tags or tracks).
